A well-established retail / consumer goods business is seeking a Supply Chain Assistant to support its Order Flow & Shipping function. This is a hands-on, execution-focused role, ideal for candidates with experience in order management, supplier coordination, and shipping administration.
THIS ROLE WILL REQUIRE RELOCATION TO SAUDI ARABIA.
The position supports the Order Flow & Shipping Manager and plays a critical role in ensuring orders move smoothly from supplier confirmation through to warehouse receipt.
Key Responsibilities
Order Flow & Order Management
- Issue purchase orders to suppliers following confirmation from buying teams
- Review proforma invoices (pricing, MOQ, product details) and flag discrepancies
- Send order confirmations for seasonal and replenishment orders
- Maintain and update order flow and inbound tracking files
- Follow up on QC completion and secure approval to ship
- Coordinate with warehouse teams to obtain receiving reports and close orders
Shipping & Logistics Support
- Support inbound shipment coordination with freight partners
- Track shipments and update delivery timelines
- Manage courier bookings (DHL, Aramex, SMSA or similar)
- Collect, track, and distribute shipping documents (BL, AWB, invoices, packing lists)
Payments & Administration
- Raise supplier payment requests (deposit and balance) in line with agreed terms
- Share bank slips with suppliers and follow up on payment status
- Request customs duty payments upon receipt of clearance documentation
- Support claims for shortages or damages where applicable
- Provide rolling supplier payment projections to the line manager
Stakeholder Coordination
- Liaise daily with suppliers, buyers, finance, shipping, and warehouse teams
- Proactively chase timelines and escalate risks to delivery or go-to-market dates
- Share weekly order flow trackers with internal stakeholders
Candidate Profile
- 2–5 years’ experience in supply chain, order management, logistics, or shipping coordination
- Hands-on experience with POs, order trackers, shipping documents, and courier bookings
- Comfortable working with Excel-based trackers and ERP/order management systems
- Strong follow-up skills and confidence communicating with suppliers and internal teams
- Organised, detail-driven, and able to manage multiple orders simultaneously
- Experience in retail, fashion, FMCG, or import-driven environments is highly desirable
- GCC / KSA experience is a plus, but not essential
